Doc-works keeps expanding and we have recently had the pleasure of welcoming another new team member!

Clare McLaughlin has joined us as Scribe ePCR Product Services Manager further strengthening our commitment to working with our partners and customers to supply an ePCR solution which not only meets but exceeds their expectations.

Clare has spent the last two years in her previous role within a large NHS ambulance trust managing organisational changes and modernising NHS practices to embrace the technology that Doc-work’s offers.

"I hope I can use my experience, excellent communication and attention to detail skills to help other clients on the same journey."

Clare also has over 10 years’ experience working in Clinical Health Records and Audit within the ambulance sector of the NHS managing the transition from paper to digital records. She also helped to develop and implement a series of robust Quality Assurance processes following strict governance to always ensure a high level of data quality and integrity.

In what spare time Clare has left with a puppy and two young children to entertain she enjoys baking and exploring the countryside on long walks.

We would like to give a warm welcome to the newest member of the Doc-works team Graham Bantock who has joined us as a Support Analyst further strengthening the Doc-works customer support team.

Graham has spent most of his career working in IT and application support and he will be putting that experience to good use in his new role to solve problems and put customer needs at the top of his list.

Graham has experience of working in many different industries including, IT, technology distribution, facilities and production environments. His previous role on the helpdesk for a leading T&A and Access Control company enabled him to gain an excellent understanding of meeting customer requirements.

In his spare time Graham enjoys swimming, cycling, and socialising with friends.

We are looking for an experienced Digital Project Manager (Remote) preferably with Agile experience to work in our friendly Product Team to help with the delivery of an exciting range of software projects. We would like to say a warm welcome to Malwina Florczak who has recently joined the Doc-works team as a Support Analyst.

A qualified architect by profession, Malwina decided to have a change of career and pursue her interest in all things IT. As a skilled IT professional Malwina has a particular interest in database analysis and development gained across technologies and apps such as MS SQL Server, Oracle, Tableau and MS Office.

Malwina is looking forward to using her attention to detail and quality management skills to support the Doc-works Service Desk ensuring that issues are resolved quickly and that a high level of customer service is provided.

When not at work, Malwina enjoys being outdoors and taking part in physical pursuits whether that’s skiing or snowboarding in the winter or biking in the summer.

Doc-works are pleased to announce the appointment of Jon McKennon as Operations Director from 1^st November 2021.

Having held various senior roles across both the Document Management and Financial Industries Jon brings over 20 years’ experience as an accomplished manager with a strong IT and technical background.

Jon brings a wealth of knowledge as well as a range of business and leadership skills to Doc-works including the successful delivery of multi-million pound projects to the NHS, building sales pipelines, and ensuring quality management systems to ISO standard.

As Operations Director Jon will be instrumental in helping Doc-works to consolidate and streamline their operational and business processes to deliver seamless support to our growing customer base. His appointment reflects our ambition to maintain our proven track record of providing excellent customer service whilst also meeting growing demand for our products and services.

After a busy week setting them up, we are really pleased to announce that four more private providers, Phoenix Response Services, Medrescue Group, Enhanced Care Services and iON Ambulance are now live with our Scribe ePCR app and portal solution.

They are part of a group of eight dedicated PAP’s now using Scribe to support South Central Ambulance Service to provide first class patient care, reliability and safety.

With an intuitive user interface which accurately models the layout of the existing SCAS paper form, Scribe has been designed in consultation with ambulance crews to help them capture real-time clinical information and provide them with better data, better reports, better audits and ultimately better patient care.

Barry Clark, Director at Doc-works said, “We have utilised our 10 plus years NHS software experience to create an ePCR system that is accurate, intuitive and provides a paramedic with everything they need when responding to a time critical incident. We have worked extremely closely with SCAS to help them provide the best possible patient care with an ePCR system that improves the quality of their services and patient’s experiences. It was part of the brief that we were given to design a system that required minimal, if any, training for private provider staff to be able to use. All the feedback from crews received so far confirms that it’s an intuitive, easy-to-follow process and one that both makes the administrative part of their role much easier and means they can give their patient better care and a better service”

Independent evaluation demonstrates Doc-works commitment to compliance and security.

For the third year in a row Doc-works has achieved ISO 27001 certification status, the international standard for information security management systems (ISMS). Established by the International Organisation for Standardisation (ISO), the ISO 27001 certification requires the assessment of an organisation’s information security management controls. Compliance with this standard demonstrates Doc-works commitment to monitoring adherence to best practices and procedures for running in a secure cloud hosted environment.

The accreditation achieved through the British Assessment Bureau is additional proof of our commitment to information security. It plays an important role in assuring our customers that Doc-works takes all necessary steps to keep their data safe, secure and accessible. Our company-wide approach to data protection ensures the highest standard of security for our customers.

We are delighted to announce that Doc-works have been awarded a place on Digital Outcomes and Specialists 5 – the UK government’s framework specialist outcomes and services procurement which will run from January 2021 for 12 months.

Now in its fifth iteration, the DOS framework has transformed the way the public sector commissions digital services – it is a simple, effective, and fast way for public sector organisations to buy, design, build and deliver bespoke digital solutions and services using an agile approach. This supports the delivery of the Government Digital Strategy by giving buyers easy access to suppliers with the right capabilities, providing a flexible and speedy route to meet customers’ digital project commissioning requirements.

In addition the terms of use are already pre-agreed upon by the government with Doc-works, enabling buyers from local and national government to proceed with purchasing products and services from Doc-works without running the full OJEU procurement process.

Doc-works has products and services available on DOS5 under Digital Outcomes: to provide teams to build and support a digital service which allows us to develop and provide bespoke solutions for customers for their paper to digital journey.

We are pleased to announce that Doc-works have achieved G-Cloud status for the third year on the UK government’s Crown Commercial Services G-Cloud 12 framework.

As an approved G-Cloud 12 and DOS4 supplier on the digital market place, we continue to strengthen our position as a trusted supplier helping public sector organisations move from paper based systems to digitally enabled solutions and services through our cloud based Audit and ePCR products.

G-Cloud is a CCS procurement framework that enables public sector organisations to search, evaluate and buy cloud services from select suppliers. G-Cloud 12 which went live this month helped the public sector to achieve commercial benefits worth over £1bn in 2019/20 supporting world-class public services that offer best value for taxpayers.

Public sector organisations now have an easy route to gain access to Doc-works technical expertise to assist them on their paper to digital transformation journey. We would like to say a warm welcome to Jake Barrow who has recently joined the Doc-works team.

Jake will be based (on a rota basis) in our Mentmore office where they will be providing additional customer support and helping to deploy our systems to help us meet the increased demand for our Audit and ePCR solutions.

Recently graduated with a BSc in VFX (otherwise known as Visual Effects and CGI) Jake joins Doc-works as a Support Analyst primed and ready for all things technical. Prior to Visual Effects his Extended Diploma in Games Development added to his broad insight into software and IT.

Jake has a diverse range of work experience. A Studio Runner for the BBC, promoting speciality peanut butter in his local Waitrose, Ikea co-worker and most recently has been assisting his father with the family plumbing business during the Covid-19 outbreak.

Jake is looking forward to giving an outstanding service to Doc-works customers, developing his product knowledge and getting to know his colleagues.

When not in the office, Jake is kept busy walking his three Spanish Water dogs with the occasional pub visit, he also enjoys watching movies and playing video games.

ISO 27001 is one of the most widely recognised and internationally accepted information security standards. It’s one of the few standards that uses a top-down, risk-based approach to evaluation. It identifies requirements and specifications for a comprehensive Information Security Management System (ISMS), defining how an organisation should manage and treat information more securely, including applicable security controls.

In order to achieve this certification, Doc-works compliance was validated by an independent auditor. We are happy to report that, after demonstrating an ongoing and systematic approach to managing and protecting company and customer data, the review was successfully completed. The scope of the ISO certification encompasses:

Private ambulance provider Central Medical Services (CMS) have successfully implemented Scribe ePCR, an integrated electronic patient record solution designed and supported by Doc-works.

Based in Nottingham, providing high quality private medical services for the NHS and private clients, CMS are one of a growing number of private ambulance providers who use Scribe ePCR to eliminate the need for paper based patient records.

The roll out also enables CMS to improve the care and treatments received by patients as well as protecting patients and clinicians through reducing COVID-19 transference risks from paper by introducing digital forms.

Ian Johnson, Head of Business Development and Events said, “Having onboarded the Scribe ePCR software recently, Central Medical Services have found it to make prehospital documentation easier and more accurate for ambulance crews to record important patient information. The information collected on Scribe can be accessed electronically by hospital staff before the ambulance crew arrives – providing important information in advance of the patient arriving at hospital. Central Medical Services have seen an improvement to quality of patient records and safety following the scribe implementation.”

We have built a high level of resilience into our human resources as part of our overall business continuity plan and we are adding some additional short-term measures to ensure the number of people able to service customer requirements and the number of locations from which they can carry out this work minimises the risk of disruption.

• The Doc-works office is temporarily closed but we are still running a full business operation with staff working from home.
• Our key support staff have been fully enabled to work from home and all our support staff are observing and operating to our stringent information security management procedures.
• We have made special provision for our support teams, ensuring they all have laptops or computers at home which can connect to our office via a secure VPN connection. Our VPN gateway is capable of supporting all staff working from home. By connecting via VPN, they can continue to provide remote support using secure connections.
• We have accelerated the training of our support team to allow them to handle more support tickets if necessary during the outbreak.
